Modern Technology Powers the Future for Genesee Country Village & Museum
Nestled in the heart of Mumford, New York, Genesee Country Village & Museum provides a window into 19th-century life—a dynamic institution that bridges the past and present. As New York State’s largest living history museum, Genesee attracts thousands of visitors annually to experience its historic buildings, engaging events, and educational programming.
To keep history alive and relevant, the museum continually updates its offerings, drawing in new and younger audiences. Genesee Country Village offers something for everyone, from Summer Camp programs to seasonal festivals. Behind the scenes, however, the museum faced challenges managing its complex operations with outdated financial systems.
The challenge of outdated systems
Like many nonprofits, Genesee Country Village relied on an accounting system that initially met their needs, but as they grew the original system struggled to meet the demands of the museum’s $18 million operation. Managing multiple grants, departmental budgets, and data from diverse applications—including point-of-sale systems, eCommerce platforms, and payroll—required extensive manual effort. Leadership often lacked access to real-time financial data, leaving them waiting for insights to guide decision-making.
“We were spending too much time on workarounds and manual processes,” says Liz Marr, CFO at Genesee Country Village. “It wasn’t efficient, and it kept us from focusing on our mission.”
Building a stronger foundation
In 2022, the museum transitioned to a modern financial foundation with Sage Intacct, supported by Net at Work and its Fractional CIO & Advisory team. The implementation involved a comprehensive review of the museum’s software ecosystem, with Net at Work identifying opportunities to integrate applications and streamline operations.
“Net at Work wasn’t just supporting the software—they were supporting our entire organization. Their team was always available, open, and honest, and they helped us make the most of this transition.”
Liz Marr, CFO, Genesee Country Village & Museum
For Marr, Sage Intacct quickly became the “sun in our solar system,” centralizing data from across the museum’s operations. With intuitive dashboards, advanced reporting capabilities, and seamless integrations, Sage Intacct has transformed the way Genesee manages its finances.
Net at Work’s expertise made the transition smooth, even as it involved significant changes to long-standing processes. “Net at Work wasn’t just supporting the software—they were supporting our entire organization,” Marr explains. “Their team was always available, open, and honest, and they helped us make the most of this transition.”
Real-time data for smarter decisions
One of the most transformative aspects of Sage Intacct has been its ability to provide real-time financial insights. Previously, managing departmental budgets required hours of manual updates in Excel, and managers often operated with outdated information. Today, department heads can access dashboards to monitor their budgets, track special events, and adjust spending as needed.
“For example, managers can see if seasonal wages are approaching the budget and take action right away,” Marr shares. “We’ve gone from reacting to issues to proactively managing our resources.”
Significant time savings
The museum’s budgeting process, once a major pain point, has also seen dramatic improvements. Marr designed templates that integrate seamlessly with Sage Intacct, reducing a process that used to take about 12 hours per year to just a few minutes.
Empowering a small but mighty team
With just 3.5 full-time equivalents on the finance team, efficiency is essential for Genesee Country Village. Marr estimates that without Sage Intacct, she would need to hire at least two additional staff members to manage the workload. Instead, the museum has been able to operate with agility, focusing its resources on its mission rather than administrative tasks.
“Sage Intacct allows us to automate what can be automated,” Marr explains. “It frees us to concentrate our resources on what matters most.”
Partnering for success
For Genesee Country Village, Net at Work has been more than a vendor—they’ve been a true partner. Net at Work has provided the expertise and support needed to ensure success, from facilitating integrations to guiding the museum through its transition to Sage Intacct.
“They feel like an extension of our team,” Marr says. “Their depth of knowledge and willingness to help have been critical in making Sage Intacct the backbone of our operations.”
Preparing for the future
Genesee Country Village isn’t slowing down. With Sage Intacct and Net at Work, the museum is well-positioned to continue fulfilling its mission while finding new efficiencies.
“We feel a deep responsibility to our mission,” Marr concludes. “With the right tools and partner, we’re ready to continue preserving history for the next generation.”

How Modern ERP Systems Drive Growth and Efficiency
When the American Kennel Club (AKC), a leading authority on dog breeds and canine health, faced challenges with their outdated Enterprise Resource Planning (ERP) system, they partnered with Net at Work. After a comprehensive business review process, Net at Work helped the AKC successfully migrate to Sage X3, a cloud-based ERP solution. This transition enabled the AKC to streamline operations, improve financial reporting, and enhance overall efficiency across their organization.
Unleashing the Power of a Modern ERP: A Game-Changer for Small and Medium-Sized Businesses
As a small or medium-sized business (SMB), you’re constantly looking for ways to streamline operations, boost efficiency, and stay competitive. If you’re still relying on a legacy ERP, you might miss out on significant opportunities for growth and innovation. Let’s explore how migrating to a modern ERP solution can transform your business and set you up for long-term success.
“Making the move to a modern, flexible ERP can be a game-changer for SMBs. From improved efficiency and decision-making to enhanced customer service and scalability, the benefits are substantial and far-reaching.”
The Limitations of Legacy ERP Systems
If, like many SMBs, your original accounting system served your needs well at first, you may have been using it for years or even decades. But while these systems may have served their purpose in the past, they often struggle to keep up with the demands of today’s dynamic business environment. Legacy ERPs typically suffer from:
Limited scalability
Lack of real-time data access
Inefficient manual processes
Poor integration with other systems
High maintenance costs
These limitations can hinder your ability to make informed decisions, respond quickly to market changes, and provide the level of service your customers expect.
The Power of Modern ERP Solutions
Modern ERP systems offer a range of benefits that can help SMBs overcome these. Let’s dive into some of the key advantages:
Centralization and Efficiency
One of the most significant benefits of modern ERP systems is their ability to centralize all your business processes onto a single platform. This consolidation eliminates the need to manage multiple systems, reducing duplication of efforts and ensuring that all departments have access to consistent, up-to-date information.
Real-Time Data Access and Improved Decision-Making
Modern ERP systems provide real-time visibility into all aspects of your business, from financials to supply chain management. This capability allows you to make more informed decisions quickly and respond effectively to market changes and customer needs.
For example, Liz Marr, CFO of Genesee Country Village & Museum, uses her Sage Intacct dashboard daily to monitor income statements, balance sheets, and departmental analysis at a glance. This real-time access to financial data has empowered the museum’s leadership to make timely, strategic decisions.
Cost Savings and Resource Optimization
While the initial investment in a modern ERP system might seem significant, the long-term financial benefits often far outweigh the costs. By automating processes and reducing manual errors, modern ERPs help SMBs cut down on labor costs, optimize inventory management, and improve resource allocation.
Genesee Country Village & Museum, for instance, estimates that without Sage Intacct, they would need at least two more staff members to handle their workload. The efficiency gains from their new ERP system have allowed them to focus their resources on strategic initiatives rather than manual processes.
Enhanced Reporting and Analytics
Modern ERP systems come equipped with powerful reporting and analytics tools that enable SMBs to analyze historical data, identify trends, and forecast future outcomes. These insights allow businesses to make strategic decisions that align with their long-term goals and objectives.
Scalability and Flexibility
As your business grows, your ERP system needs to grow with you. Modern ERP solutions are designed to scale easily, allowing for the addition of new features, modules, or users without significant disruptions. This scalability ensures that your ERP system continues to provide value as your business expands.
Improved Security and Compliance
Modern cloud-based ERP systems offer stronger security frameworks than legacy systems, as cloud providers handle critical regulatory compliance requirements and implement the latest security protocols. Regular updates ensure that the system remains secure against evolving cyber threats.
Enhanced Customer Service
A modern ERP system can significantly improve your ability to serve your customers by providing a unified view of customer interactions and transactions, enabling businesses to respond more quickly to inquiries and process orders more efficiently.
Real-World Success Stories
The benefits of migrating to a modern ERP system are not just theoretical. Many SMBs have experienced significant improvements after making the switch. For example:
Polycoat Products partnered with Net at Work to implement Sage X3, which supported their growth from 2 to 10 locations and cut the time needed for their annual business audit from a few months to a few hours.
Riley Sales, after implementing Acumatica with Net at Work’s help, reduced their monthly close from 22 days to 5 days and eliminated the need for an additional full-time position.
Children First partnered with Net at Work to migrate to Sage Intacct and predicted a TCO savings of more than $20,000 over five years thanks to the move.
Red Flags: Is It Time to Update Your ERP?
According to Net at Work’s experience with SMBs across many industries, there are 11 red flags that indicate it might be time to migrate to a modern ERP system:
Your team feels their productivity is hampered by the current ERP.
You’re using disconnected applications that don’t meet all your needs.
Your operations costs are increasing.
You need to move from server-based applications to cloud-based systems.
It’s cumbersome to add new users to your existing ERP.
Your current ERP doesn’t provide deep operational insights.
You’re having difficulty finding new talent due to manual processes.
Your current employees are frustrated by manual processes.
You have frequent and/or recurring accounting errors.
Accounting errors take many hours or days to resolve.
You’re unable to create and quickly pull customized reports across departments using current data.
If you recognize any of these warning signs, it may be time to investigate migrating to an ERP that better suits your needs.
Making the Move: A Foundation for Success
While the benefits of modern ERP systems are clear, the process of migrating from a legacy system requires careful planning and execution. Here are some key considerations:
Assess Your Current System: Start by evaluating your existing ERP’s limitations and identifying areas that need improvement.
Define Your Requirements: Involve key stakeholders from various departments to ensure all perspectives are considered when defining your new ERP requirements.
Choose the Right Solution: Consider factors such as scalability, industry-specific features, and integration capabilities when selecting your new ERP system.
Plan for Data Migration: Develop a comprehensive strategy for transferring your data from the old system to the new one, ensuring data integrity and consistency.
Provide Adequate Training: Invest in thorough training for your staff to ensure they can effectively use the new system and take advantage of its features.
Partner with Experts: Consider working with experienced ERP consultants like Net at Work to guide you through the selection, implementation, and optimization process.

Using a Modern ERP to Gain the Interoperability You Need
As organizations grow, the need for interconnected systems becomes essential. However, many businesses, especially in complex sectors like healthcare and nonprofit, find themselves struggling with systems that just don’t talk to each other. This lack of interoperability can prevent teams from getting the data they need in real time.
Why Interoperability Matters for Mission-Driven Organizations
Interoperability isn’t just a buzzword, it’s a strategic advantage. Seamless data sharing across departments, systems, and applications empowers organizations to make smarter decisions without delay. For industries like healthcare and nonprofit, where every dollar and data point counts, interoperability is essential for compliance, patient safety, and operational transparency.
Consider a nonprofit that needs to track grant funds and transparently report restricted and unrestricted funds to donors. Without interoperability, the finance, operations, and fundraising teams may find themselves duplicating data entry across multiple systems, risking errors and wasting time. Similarly, a healthcare provider might struggle when patient billing data is siloed between financial, operational, and electronic health record (EHR) systems. When these systems work together, the entire process becomes more efficient.
Key Benefits of a Modern ERP for Interoperability
Using a modern ERP like Sage Intacct provides several key advantages:
Data Accuracy and Reduced Errors: When all systems are connected, information flows freely and accurately across departments, reducing manual data entry and the potential for human error. In healthcare, for instance, this could mean fewer billing errors and better patient care because accurate financial data is available instantly.
Improved Efficiency: Interoperability means that staff no longer have to waste time toggling between platforms to gather essential information. For nonprofits, this translates to more time spent on mission-driven activities and less on data reconciliation.
Enhanced Compliance and Reporting: A modern ERP simplifies audit trails and grant reporting, providing up-to-date information for regulatory compliance. With all data centralized, organizations can confidently manage their finances and prepare for audits, no matter how complex the requirements.
Cost Savings and ROI: By reducing IT maintenance costs, minimizing error-related expenses, and boosting employee productivity, a modern ERP can yield significant savings. The investment in interoperability often pays for itself in terms of time and resources saved.
How Sage Intacct Supports Interoperability
Sage Intacct is designed with interoperability in mind, offering features that facilitate seamless integration with your organization’s essential tools:
Open APIs and Integration Options: Sage Intacct’s open APIs make it easy to integrate with commonly used applications. This flexibility means you can continue using your favorite tools while gaining the benefits of a unified ERP system. In healthcare, this might include integrations with EHR and other patient management systems. For nonprofits, popular integrations could include donor management or grant tracking tools.
Modular Structure for Tailored Solutions: Sage Intacct allows organizations to choose only the modules they need, making it a customizable, scalable solution that grows alongside your organization.
Real-World Use Cases
W.E. Upjohn Institute for Employment Research
Facing inefficiencies with a 20-year-old system, the Upjohn Institute chose Sage Intacct for its automation and cloud access. The switch eliminated manual tasks, improved reporting, and empowered teams with real-time data. ‘Sage Intacct helps us do a better job of supporting our mission,’ says Kathy Breyfogle, CFO.
Hawaii Dental Service
Hawaii Dental Service (HDS) transitioned to Sage Intacct to modernize its financial management. The switch enhanced efficiency, with automated reporting saving 12 hours monthly. ‘We couldn’t go back to our old system now,’ says Cara Numasaki, Controller.
Getting Started with a Modern ERP: Key Considerations
Adopting a new ERP is a big decision, and it’s important to choose a solution that aligns with your organization’s needs. Here are a few factors to keep in mind as you evaluate your current systems:
Evaluate Your Current System’s Limitations: Where are the barriers in your current workflow? Are there frequent errors or inefficiencies caused by disconnected systems?
Consider Industry-Specific Needs: Some ERPs are better suited to particular industries. Sage Intacct, for example, offers functionalities tailored to nonprofits and healthcare providers.
Think Scalability: Your organization’s needs may change as you grow. A modern ERP like Sage Intacct can scale with your operations, ensuring you’ll have the tools and integration capabilities you need in the future.

Challenges in a rapidly evolving marketplace
Advanced technologies have helped raise the requirements of today’s customers, who now expect to be able to shop, schedule service appointments, and receive quick support around the clock. In the face of these heightened expectations, today’s HVAC/R business deals with increasingly complex services such as equipment installation, inspections, and maintenance at customer facilities or other off-site locations. Specific challenges that HVAC/R businesses face include:
Lack of real-time visibility into the location of their technicians and the current status of appointments
Inefficient routing and scheduling
Cumbersome and ineffective inventory management
Disconnected administrative functions, which can lead to delays in billing and inaccurate or missing customer data

Digital Transformation for Midmarket-Sized Businesses
According to a frequently quoted study, about 70% of all significant business transformations will fail. But despite this grim statistic, there are clear guidelines to success for small-to-medium-sized businesses (SMBs) who realize their organizations need to significantly upgrade their technology systems.
“Technology investments can and should make improvements to the business, its processes, its people and its customer experience – and are rarely successful unless they do,” says Eric Sluss, Fractional CIO & Advisory Services with Net at Work. “Rather than viewing these as technology projects, view them as business, process and people projects.”
Simply stated, the four pillars of digital transformation are:
Streamlining processes
Digitizing paperwork
Enabling employees
Enhancing customer experience
In a recent podcast hosted by BetterTech, Sluss goes into detail about these four pillars, explaining how SMBs can create successful digital transformation plans by keeping the pillars at the heart of the process. The podcast also delves into timely topics such as how AI integration can—and should—address genuine business problems instead of being merely a technology adoption.
“The main thing with digital transformations is that these are difficult journeys for any organization to embark on,” says Eric Sluss, Fractional CIO & Advisory Services with Net at Work. “If I were going to climb Mount Everest, I would need to get the right training, the right gear, and the right mindset. With digital transformations, there’s planning, strategies that are specific to your company, and then a tailored roadmap that outlines the different initiatives that will get you to the future.”
You can watch the podcast: “Digital Transformation from Vison to Execution” below, or listen to it here.
