Control General Ledger Entry Postings with Simulated Entries
In Sage X3, there’s a parameter that controls the type of entry that’s going to post in the General Ledger. This parameter is used when running single or mass generation processes of accounting entries using automatic journals. You can use this parameter to create simulated entries before actually posting the journal—no accounting entry will be generated. This allows you to correct any errors such as missing accounts or unbalanced journals before posting. You can also use this parameter to prevent a user from posting transactions to the GL. To get started, go to Setup >> Users >> Parameters >> Accounting Interface. To activate simulated entry generation simply click on a selection and select one of the following options: No.  If you select ‘No’, no simulation run. Journal entries are generated. This is the default value. Yes – always. ‘Yes – always’ generates a simulation entry for all the journals. This will prevent the user from posting transactions to the General Ledger. During the generation, a screen automatically opens and displays the simulation results and potential warning messages. During mass processes, all the entries are displayed. Yes – If error. ‘Yes – if error’ generates a simulation entry ONLY if there is any error during generation of the journal. This is used for debugging the posting in the event of an error and to understand what is missing—either a value, a dimension, or a General Ledger Account. Auto-Approve Sage X3 Workflows and Avoid Approving the Same Transaction Twice
Recently, a question was posed to the Sage Community Hub asking whether it was possible to automatically approve a workflow when the current approver is the same as the next level approver. This is a fairly common situation—frequently seen when an approver leaves the company but their replacement has not yet been hired. In this scenario, you will often have a manager that will need to approve a workflow twice—once for the open position and once for themselves. Fortunately, the answer is ‘yes’, you can configure auto-approve on Sage X3 workflows and avoid having a user approve the same transaction twice. SETTING UP AUTO-APROVE ON SAGE X3 WORKFLOWS To do this, you need to add a SIGWRK action for POHSIG and POHSIGVAL workflow rules: The Execution condition GUSER = [L]USER([L]LEVSIG+1) means “if the User signing is the same User signing at the next level of approval, then sign again”. You have to add this action on POHSIGVAL and also on POHSIG if the first approval user is the same at the next level of approval. To see the original post on Sage Community Hub, click here. How to Avoid Calculating Taxes When Using Sage X3 and Sage Sales Tax
There are two ways to avoid calculating taxes when using SAGE X3 and Sage Sales Tax (Avatax from Avalara) as the 3rd party Tax Calculator. AVOID CALCULATING TAXES FOR ANY TRANSACTION The first way avoids calculating taxes on ANY transaction from a customer. To do this using Sage Sales Tax, simply enter a value—any value—in the Exemption no. field: Typically, tax-exempt entities recognized by the IRS (for example, religious organization, charities, resellers or similar) enter their tax exempt number in this field. However, entering ANY value in this field will force Sage Sales to avoid calculating taxes for this customer for any transaction. Should you need to calculate taxes on a single invoice, you cannot do it when this field is populated—you will have to clear it first. AVOID CALCULATING TAXES FOR A SINGLE TRANSACTION There can be situations where a customer who is usually taxed needs to avoid calculating taxes for a single transaction. In these cases, there is a field in the invoice generation labeled Entity/Use that handles the exception on an individual transaction basis. Normally, because this customer DOES NOT have an exemption number associated, the main tax rule will send the information to Sage Sales Tax and will return the value depending of the configurations (Product taxation and jurisdictional sales rates): However, if we enter an exemption value in the Entity/Use field, the system will determine if the tax exemption is valid on the transaction’s jurisdiction and will consequently apply it in the calculation. Below is a list of the regular Entity/Use codes. This list is maintained in Common Data / Miscellaneous Tables: By entering one of these values in the Entity/Use field, the tax calculation will include it and consequently it will make that single transaction exempt: Note that the Rate and Tax Amount fields now are empty: This exemption will apply only to this single invoice. Any subsequent transactions for this customer will not take that code into consideration, but instead will revert to the customer’s main configuration (the tax condition that we setup originally for the customer). In this example, the next transactions will be taxable since there is no value stored in the Exemption no. field for this customer. Using Multiple Values to Filter Data in Sage X3 Requesters
This week’s blog post focuses on how to use requestors to create flexible filters for your data in Sage X3. Typically, clicking the Criteria button allows you to filter your data by selecting ranges of values for certain fields.  Sometimes, however, the data you want to filter for is not in a range, so what should you do? We’ve outlined the steps below: Launch your requestor from the menu or a process flow Click on the Criteria button in the top right corner Click the action button (…) in the Start column for the field you wish to filter: Click on Multiple Values You can enter ranges or single values for filtering. A Brief Look at the Transport Note Feature in Sage X3
In some situations, companies need to transfer products form one place to another that are not part of the normal distribution flow. For example, shipping a computer that needs to be repaired or shipping marketing materials to a conference or tradeshow. The Transport Note feature in Sage X3 tracks goods that are shipped and/or delivered but do not include products that are part of the core business. The main differences between this function and deliveries are the following: No link with an existing document No accounting journal No invoices No credit control and credit updates No accounting interface No returns for transportation notes are anticipated No stock management: The products can be managed in stock but no stock movement is generated for transportation notes No control on stock availability is made even if there is no stock for a product managed in stock No picking from items in the list panel; transportation notes must be created directly with no link to orders, shortages, etc. Dedicated sequence number The business partner can be a customer or a supplier As you can see in the screenshot below, the feature is accessed from the Common Data menu and is associated with activity code (TRSNE Transportation notes).
