Sage X3 Revision Management in Sales Orders, Quotes, and Purchase Orders
The release of Sage X3 version 12 contains improvements in how to track revisions made to Order documents including Quotes, Sales Orders, and Purchase Orders. Revision number tracking can help us determine the number of times the order had undergone changes.
Prior to version 12, users were prompted to save a revision and they could select “yes” or “no”. If “no” was selected, the revision was not tracked. Now, we can force the revision. Also, prior to v12, you could not reprint an old version unless you modified the native reports. Now, with all native reports, you can select the revision.
In version 12, for Sales Orders, you will need to tweak the Parameter SALREV in VEN Sales chapter – Group ORD. There is the same parameter available for Quotes and Purchase Orders:
Not managed: you will not receive a prompt and revisions will not be tracked
Managed on demand: will prompt the user whether they would like to save the revision
Managed automatically: revision tracking is mandated with no prompt
You can now decide to print a specific revision of the sales documents or purchase documents:
This will allow the visualization of the complete revision history from the Sales Order screen as well as quote and PO, and it shows the difference in Red of what was changed for that revision.
In version 12, you can see the entire document in each version. Prior to v12, it was only by line that you could access revised information – much more cumbersome and difficult to identify the revisions:

You can also see the original order and any other version of the document by selecting the revision in the left list:
With this new functionality, you get much cleaner and efficient access to revised documents for sales quotes, sales orders, and purchase orders.

How to Configure Color Coding of the Calendar Gadget in Sage X3
Sage X3 has several widgets that can be customized and added to landing pages to create a unique user experience. One in particular is the Calendar Gadget. In a previous blog post, we told you how to add the Calendar Gadget to a homepage. The Calendar Gadget is based on a query and with a little set up can be color coded to signal different event stages. This blog post details the process to configure the color coding of the Calendar Gadget.
ADDING CRITERIA TO MY QUERY
Follow Setup > Usage > Reports > Graphical Query
Locate Query STO005.
This is the query that the calendar is based upon.
The Allocation Status field can be added to the query to indicate if an order is allocated, partially allocated, or not allocated.
Select run from the right-side menu to see the full query.
ADDING COLOR TO A CALENDAR
Follow Setup > Interactive Components > Dashboard View
Search for Code RSTO0051
Locate Rows 9 and 10
Color column is for the event color and category column is for the legend descriptions, these will generally be the same.
This will link the values in the query to a color defined by the local menu parameters (below).
Select the ellipsis and select a value from the query.
Locate Rows 11 and 12
This will define the legend and the event colors.
Local Menu-Category is for the calendar descriptions and Local Menu-Color defines the colors associated with these descriptions, these too will often be the same.
Enter Local Menu – 416
This local menu is associated with the allocation status.
CREATE A MENU ITEM
Follow Administration > Authoring > Menu Items
Select create new menu item.

Adding Hyperlinks in Sage Enterprise Intelligence (SEI) Worksheets
Hyperlinks are links that can be used within your Sage Enterprise Intelligence (SEI) worksheet to directly open a page in Sage X3. The hyperlink is represented as a column in SEI and is defined based on what you want to link a specific value to in Sage X3 (for example, Customer, Product, Invoices, etc.) The purpose is to give the user the ability to open a new tab in Sage X3 based on a defined hyperlink value in the record on the SEI worksheet.
In this blog post, we will walk through the process for adding a hyperlink to an SEI worksheet.
Step 1
Choose the Data Model that you will use for you hyperlink column. We are going to use the Data Model called Invoice Analysis. Right click on Invoice Analysis and select Design Data Model.
Step 2
Add a calculated column. In our example, we will create a hyperlink for Customers:
1. Column Group Heading = Customer
2. Column Heading = Hyperlink
3. Change Data Type in the Advanced section to CHAR
4. Format = Hyperlink
5. Column Type = Dimension Data
6. Calculation:

YELLOW: Change this to your Sage X3 URL.
GREEN: Change this to your Function Code. GESBPC is used for our customer example.
BLUE: Change this to your field name. BPCUSTOMER is my table name and BPCNUM_0 is my customer code.
7. Click OK
Step 3
Open the worksheet and add the column. You can select the ‘AE001’ and it will open up a new tab for the record.
Step 4
Format the worksheet (OPTIONAL) if you want the hyperlink only at the highest group level and not available at detail level.
1. Subtotal = MAX
2. Subtotal Restrictions
Yours may be ZINVOICE.BPCNUM_0
Step 5
Save the Data Model. Your hyperlink is now ready to use in your SEI worksheets.

Using the Bank Reconciliation Feature in Sage X3

Implementing Standard Orders to Ship Calendar Gadget in Sage X3
Sage X3 comes with a standard out-of-the-box, Orders to Ship Calendar. The benefit of using this gadget is to give the user insight into all orders based on required delivery date from a calendar visualization perspective. This allows for better tracking of both late and future shipments that need to be fulfilled.
Adding the Calendar Gadget to a Homepage
The calendar gadget has been created as a menu item that can be added to a homepage.
Go to Administration > Authoring > Pages.
Identify the homepage that you want to add the gadget to. For our example, we will be using the NAexecutive page.
Click ‘Edit’
In the top right corner, select Actions > Edit page content.
You can now determine where you want to place the calendar gadget. We created a new tab and added the gadget. NOTE: The gear icon near the refresh icon allows you to edit the name of the tab.
Within the ‘Add New Gadgets’ prompt, select Calendar > Stock > Stock > Orders To Ship.
That’s it, you’re done.
Modifying the Calendar Gadget
Sometimes you may want to modify the calendar gadget. For example, you may want to add order status to the description within the gadget so it shows both order number and order status.
Go to Setup > Interactive dashboard > Dashboard views.
Search for code RSTO0051.
Locate row 6 (this is if you want it in the header) and 7 (if you want it in the detail) in the visual component section.
Select the ellipsis icon
Select the column you desire, we are choosing Line Status in our case. You can add more based on the graphical query tool.
Repeat step 3a and 3b for Row 7
4. Click ‘Save’
That’s it, you’re done. You can click on the order, and dynamically go into the transaction.

Setup of Application Links in Sage Enterprise Intelligence (SEI)
Objective: Create an Application Link in Sage Enterprise Intelligence (SEI) that links to a screen in Sage X3. This allows you to link specific values from you worksheet to use as a hyperlink to your Sage X3 application. You can also use these defined links in the SEI excel add-in.
In our scenario, we will be creating a link from an invoice number in SEI to the corresponding invoice record in Sage X3.
Before setting up the Application Link, we need to go into the Invoices process in SEI, confirm the SEI process has a column for the field being used to Link To into Sage X3, and confirm the field column has a Global Parameter in it, or assign one. In our example, we assigned one by changing the Parameter Name to DocumentNo to represent the Invoice Number.
Setup of Application Link:
1. Go to Administration > Application Links.
2. Add a New Record of ‘Link’.
3. Enter in a description and the following link:
https://app2:8124/syracuse-main/html/main.html?url=/trans/x3/erp/LIVE/$sessions?f={INPUT FUNCTION CODE}/2//M/{INPUT PARAMETER}.
In your case, the https://app2:8124 would be updated with your X3 web link.
LIVE will be updated with your folder’s name in Sage X3. Although not required, you can make this a dynamic field using global variables if you want to use the application link among multiple SEI folders.
Where INPUT FUNCTION CODE = GESSIH
NOTE: You need to identify the function’s code in Sage X3 that your Application Link will be using. For example, if the Application Link is creating a hyperlink to the ‘Sales Invoice’ screen, then you would use the ‘GESSIH’ code in the application formula. You can see this code by hovering over the function (Sales > Invoices > Invoices).
And INPUT PARAMETER = @DocumentNo (You can drag and drop this from the left panel.)
*This is based on the global parameters. The ones you need should be set up and mapped to the design process/data model if they haven’t been already*
4. Click ‘Update’ and you’re all set. Your Sage X3 web link is ready to use.
How to use your Application Link:
1. Select your view.
2. Select the invoice number you want to see as a record in Sage X3.
3. Select the ‘X3 Invoice’ Application Link that we created.
4. A new tab will open and the invoice record will open up.

Locking and Unlocking Entry Screen Columns in Sage X3
One of the many nice features of Sage X3 is that inquiries, screens, and entry screens are customizable. Quite a few of the screens have a certain number of columns frozen on them. This brief explanation will show you where to change them for screens, inquiries, and enterprise planning workbench.
IMPORTANT REMINDER: Always test changes that are outlined in this post in a test or pilot folder before deploying to your live production folder. Remember to validate the objects after changes. And don’t forget to document these kinds of changes for testing after upgrades.
#1 Changing a Screen:
Production Tracking Screen
Manufacturing > Production Tracking > Production Tracking
To Change:
Development > Script Dictionary > Screens [MTK1]
The options column controls how many columns are frozen on this particular page. If you change the KR4 to KR2 you would only have 2 frozen columns (Tracking Type and Operation).
#2 Changing an Inquiry:
Stock by Site
Stock > Inquiries > Stock by Site
To Change:
Setup > General Parameters > Inquiry Screens
Select the inquiry from the left list that you would like to change. Please note that the majority of the inquiries in the left list have an ALL and STD version, you’ll want to make sure you’re updating the correct one.
Change the “No. of fixed columns” to reflect the number of columns you would like frozen.
Results:
Stock by Sites
Stock > Inquiries > Stock by Site
#3 Changing Enterprise Planning Transactions
One of the easiest to change is the enterprise planning workbench because it is part of the entry transaction setup.
Go to Setup > Manufacturing > Enterprise Planning
On the display tab you can change the “Number of fixed columns”
In conclusion, if you are frustrated with which columns or how many columns are frozen on a particular screen or inquiry it is just a matter of finding the right place to look.
